Responsibilities

  • Manage scheduling and calendar coordination for team members, meetings, and events to optimize productivity.
  • Oversee vendor relationships, including onboarding, communication, and contract management to ensure seamless service delivery.
  • Coordinate virtual events, webinars, and training sessions with attention to detail and professionalism.
  • Handle clerical tasks such as filing, data entry, and maintaining organized digital records using spreadsheets and office software.
  • Assist with human resources functions including onboarding new employees, maintaining confidential personnel files, and supporting payroll processes through accounting software like QuickBooks.
  • Support office operations by managing multi-line phone systems, client communication, and ensuring efficient office workflows.
  • Monitor budgets, perform bookkeeping duties, and track expenses to support financial accuracy and accountability.
  • Facilitate team management activities by providing training & development support, fostering effective communication skills, and promoting a collaborative work environment.
Qualifications
  • Proven experience in office management or administrative roles with strong organizational skills.
  • Demonstrated supervisory or team management experience with the ability to lead remotely.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) along with spreadsheets for data analysis.
  • Familiarity with accounting software such as QuickBooks or similar financial tools.
  • Experience in event planning, vendor management, and handling confidential information with discretion.
  • Excellent communication skills—both verbal and written—with professional phone etiquette.
  • Strong technical proficiency in managing scheduling tools, multi-line phone systems, and customer service platforms.
  • Knowledge of bookkeeping, payroll processing, budgeting, and basic accounting principles.
  • Ability to adapt quickly to new technologies while maintaining high standards of accuracy and efficiency.
